The university uses both insurance and self-insurance to cover damage to university owned and commercially leased vehicles as well as protect the university if found liable for someone else’s injuries or damage.   

Should an incident occur, it is important to report the details to the Office of Enterprise Risk and Insurance within 24 – 48 hours. Be prepared to share the (1) date, time, and location of the incident, (2) description of incident including any injuries or damage, and (3) any parties involved.  

The insurance and self-insurance exclude coverage related to: 

  1. Failure to maintain vehicles 
  2. Ongoing service and repair
  3. Vehicle refresh  
  4. Wear and tear 
  5. Incidents reported more than 30 days after the incident date
  6. Personal vehicles even if used by employees within the scope of their employment or assigned duties. 
    Failure to participate in any investigation and / or produce requested records in a timely manner including incident reports, repair estimates, or pictures may result in coverage denial.

Liability

  • Relates to injuries and damage to others or their property 
  • Coverage provided by State Risk Management Trust Fund 
  • Police report / incident report required 
  • Report to Office of Enterprise Risk and Insurance within 24 – 48 hours 

Physical Damage (caused by others)

  • Relates to damage to UCF vehicles caused by a known at-fault party  or an unknown at-fault party (i.e. hit and run)
  • Police report / incident report required 
  • Report to the Office of Enterprise Risk and Insurance within 24 – 48 hours to handle claim with at-fault party. If at-fault party cannot be identified, coverage provided by university incident fund.

Physical Damage (Other)

  • Examples
    • Theft  
    • Vandalism by unknown party 
    • Collision with an animal 
    • Severe Weather 
    • Collision with an object (building, pole, fence, etc.) 
  • Coverage provided by university incident fund  
    • Total loss results in payout equivalent to Actual Cash Value (ACV) 
  • Report to Office of Enterprise Risk and Insurance within 24 – 48 hours 

Windshield Repair/Replacement

  • Report to Office of Enterprise Risk and Insurance within 24 – 48 hours
  • Identify department employee who will be vendor’s contact to schedule repair / replacement
  • Department employee identified as vendor’s contact will need to (1) be available during repair and (2) confirm work has been completed satisfactorily
